Supplier Portals Dashboard and Workspaces

Instructions to set up a dashboard and workspace for your portal agent

Overview

These are main places for you to see an overview of your supplier portal invoices and their statuses:

  • The Portal Overview Dashboard

  • The Invoices Workspace

Both of these can be configured based on your responsibilities, information you need to view, and actions you want to take.

Supplier Portal Invoice Statuses

Tesorio's Supplier Portals Agent assigns several statuses to help you track invoices throughout the submission and payment process. You can use these statuses to create workspace filters or add them to your dashboard widgets:

Submission Flow Statuses

Ready to Submit

Triggers the Tesorio submissions process

Review Submission

Assigned when Tesorio has found a discrepancy between the PO and the matched invoice (terms mismatch or insufficient PO balance)

Submission in Progress

Tesorio is actively submitting your invoice

Failed Submission

Tesorio was not able to submit your invoice

Awaiting Changes

The invoice is removed from your Needs Review list and your dashboard widget, but Tesorio will continue to try matching during each sync. Use this when the invoice requires updates before submission (e.g., PO balance increase or terms adjustment)

Manual Submit

Indicates you'll handle this invoice submission outside of Tesorio

Draft

Tesorio saved the invoice as Draft in the portal

Portal Monitoring Statuses

Status

Meaning

Manual Submit

A matching PO has been received from the portal and is ready for submission

Pending Approval

Invoice has been submitted to the portal but not yet approved

Draft

Invoice is saved as draft in the portal

Approved

Invoice has been approved for payment

Disputed

Invoice has been disputed in the portal

Invoice has been marked as paid in the portal

Configure Your Dashboard

The Portal Overview Dashboard makes it easy to track the overall status of your supplier portal customers and invoices ensuring that nothing falls through the cracks and delays payment.

On the Dashboard, click New.

Select Start from Template.

Select the Portal Overview dashboard template. This will create a new Dashboard in your account. You can rename this dashboard, add and remove widgets as needed, and edit the filters to meet your requirements.

The Requires Actions Widget contains supplier portal invoices with statuses:

  • Review Submissions

  • Failed Submission

  • Disputed

  • Draft

Click into the rows of any of the dashboard widgets to open the corresponding drawer, or navigate to a filtered workspace to view all records in detail.

Best Practices for Monitoring Portal Submissions

  1. Check your dashboard daily to identify invoices that need attention

  2. Review the "Requires Action" widget regularly to approve invoices for submission or address issues that might delay payment

  3. Monitor "Days Since Last Update" to find stalled invoices that may need follow-up

  4. Create separate workspaces for different portal providers if you have significant volume

Configure your Workspaces

Create new workspaces specifically for your supplier portal invoices in order to stay on top of updates. You can also use the Supplier Portal specific filters to narrow your criteria as needed.

Navigate to your workspace and modify the columns for the Supplier Portal.

You can reorder the columns by dragging and dropping them in your preferred order after selecting them. Once the columns are selected, select the filters to be able to view the relevant data. You can exclude the [no status set] option to find portal items that do not have a portal status set and may require attention.

Be sure to Save and Name your workspace! You can also share your workspace with other team members.

Finding Matched Invoices for Customers Not Enabled for Submission

You can use workspace filters to identify invoices that Tesorio has successfully matched to purchase orders for customers who are only enabled for monitoring (not submissions). This is useful for discovering customers who might be good candidates for enabling submissions, or might be new and not have not been enabled yet.

Setting up the Filter

  1. Navigate to your Invoices workspace

  2. Click Manage Workspace and select Filters

  3. Add the following filters:

    • Supplier Portal Agent: Select "Monitor Status Only"

    • Supplier Portal Status: In the "Exclude" section, select "[no status set]" to show only invoices that have not been submitted to the portal outside of Tesorio

    • Has Supplier Portal PO: Select "Yes" (if available)

  4. Apply the filters to see matched invoices for monitoring-only customers

Understanding the Results

The filtered view will show invoices where:

  • The customer has a Supplier Portal Agent status of "Monitor status only"

  • Tesorio has matched the invoice to a purchase order (indicated by a Supplier Portal PO number)

Next Steps

From this filtered view, you can:

  • Review matching accuracy: Click into individual invoices to verify PO matches are correct

  • Enable customers for submission: Navigate to the customer record and change their Supplier Portal Agent setting from "Monitor Only" to "Submit Invoices to Portal."

  • Create a saved workspace: Save this filter configuration for regular review of potential submission candidates

Note: Remember that customers must be individually enabled for submissions. Simply enabling submissions at the account level doesn't automatically enable all customers - this gives you control over which customers participate in automated submissions.
