Apply Credit Memos to Invoices

Applying credit memos

On the Pay Now section of the portal, select one or more open invoices you'd like to pay. If you have credit memos that are eligible for the invoices you've selected, an Apply Credit Memos button will appear alongside the payment options.

Note: The Apply Credit Memos button only appears when you have credits that are eligible for the invoices you've selected. The portal automatically shows only credit memos that are compatible with your selected invoices — for example, the credit memo and invoice must be in the same currency.

Selecting Apply Credit Memos opens a panel listing your available credits. From here you can:

  1. Select which credit memos to use. You can apply one or several credits in a single submission.

  2. Enter how much of each credit to apply. Each credit defaults to its full unapplied balance, and you can lower the amount if you only want to use part of a credit.

  3. Review the running summary showing your total available credits, the credits you're applying, and your remaining invoice balance after credits.

  4. Select Apply Credits.

Confirmation

After you apply credits, you'll see a Credits Applied Successfully confirmation screen, similar to a payment confirmation. It shows the total amount of credit applied and a per-invoice breakdown of how the credit was applied to each invoice.

Credit applications are processed in the background and typically complete within a few seconds. In the rare case that one of the lines in your submission can't be applied, the confirmation screen will show that specific line as failed, along with the reason — any other lines in your submission will still go through.

View Applied Credits

If credit memos are available in your portal, you can view them under the Credit Memos tab. For each credit memo, you'll see:

  • Number, Date, and Amount

  • Applied — how much of the credit has been used

  • Unapplied — how much is still available

  • StatusPosted (no applications yet), Partially Applied, Applied (fully used), or Voided

These balances always reflect the latest information from your vendor — so if your vendor's team applies one of your credits on their side, you'll see the updated Applied, Unapplied, and Status values here.

View your application history

Under the Applications tab, you can view the history of credit applications you have submitted through this portal. Each row shows the submission date, status, number of credits used, total amount applied, the invoices it was applied to, who applied it, and when it was completed. Select the eye icon in a row to view the per-invoice details for that application.

Application statuses you may see:

  • Pending — submitted and queued

  • Processing — currently being applied

  • Completed — all lines were applied successfully

  • Partially Failed — some lines succeeded, and at least one did not

  • Failed — the application could not be completed; an error message is shown

Note: The Applications tab is your own activity log — it lists only applications submitted through this portal. Credits applied by your vendor's team, or applied before this feature was available, won't appear in this list, but they are still reflected in the balances and statuses on the Credit Memos tab.

Good to know

  • A credit memo can only be applied to open invoices in the same currency as the credit.

  • While an application is processing, the affected invoices show a reduced available balance, so the same credit can't be used twice.

  • If you need a credit application reversed (unapplied), contact your vendor — unapplying credits is handled by your vendor's team.
