Why you are seeing this
Some NetSuite custom fields are calculated each time a record is opened (a formula, a value sourced from another record, or a summary search result). NetSuite calls these fields "not stored" because the value is never saved in the database.
Tesorio can read stored fields in bulk, which is fast. Fields that are not stored have to be fetched one record at a time, which makes your sync slower. You can still activate the field in Tesorio; the sync will just be slower until you complete the steps below.
Recommended fix: add a stored copy of the field (a "stamp" field)
You keep the original field exactly as it is for your NetSuite users. You add a second, stored field, and a scheduled workflow copies the live value into it. Tesorio syncs the stored copy.
You need NetSuite Administrator access (or a role that can create custom fields and workflows). We suggest doing this in a sandbox first.
Before you start
Write down the field's label, its type (text, date, email, list, and so on) and which record it lives on: Invoice, Credit Memo or Customer.
Check where the original field is used in Tesorio (email templates, filters, campaigns, contact mapping). You will repoint these in Part 3.
Part 1: Create the stamp field
In NetSuite go to Customization > Lists, Records, & Fields. For Invoice or Credit Memo fields choose Transaction Body Fields > New. For Customer fields choose Entity Fields > New and, under Applies To, check Customer.
Set Label to the original label plus "(Stamp)", for example Service Billed Through (Stamp).
Set Type to the same type as the original field. For a list or record field, select the same list or record.
For transaction fields, under Applies To, check the same transaction types as the original field.
Check Store Value. This is the important setting.
Leave sourcing, formula and default value empty. The workflow fills this field.
Click Save.
Copy the field's ID (it starts with custbody or custentity). You will need it later.
Part 2: Create the scheduled workflow
Step A: A saved search to choose which records to process
Go to Lists > Search > Saved Searches > New and pick the record type (Transaction or Customer).
Add criteria that limit the search to the records Tesorio cares about. For invoices, use Type is Invoice, Main Line is true and Status is Open. For customers, use Balance is not 0.
Do not use the original (calculated) field in the criteria. NetSuite does not make calculated fields available in searches. The workflow does the comparison instead.
Name it, for example Stamp field - open invoices, and save.
Keep the first run small. The first run writes the stamp field on every matching record, and Tesorio re-syncs every record that changes. Limiting the search to open records keeps that manageable.
Step B: The workflow
Go to Customization > Workflow > Workflows > New.
Set Name (for example Copy field to stamp field) and set Record Type to match the saved search.
Set Release Status to Testing for now.
Set Keep Instance and History to Always while testing. You can change it later to save space.
Set Initiation to Scheduled. Leave On View or Update and On Create cleared unless you want near-real-time updates.
Under the schedule settings, choose the saved search from Step A and set Repeat to a frequency you can live with, for example every 30 minutes to every 4 hours. Tesorio's data will be up to that far behind the live NetSuite value.
Click Save to open the workflow canvas.
Add a state and name it Stamp.
Click New Action and choose Set Field Value. Set Trigger On to Scheduled. Set Field to the stamp field. Set the value to come from the field on Record: Current Record, and pick the original field.
Add a condition so the action runs only when the values differ: the stamp field is not equal to the original field. Make sure a record whose original field is empty is handled the way you expect.
Click Save.
Step C: Test and release
On the workflow, choose Execute Now against a sandbox or a handful of test records.
Open one test record and confirm the stamp field now matches the original field.
Change the source value and run it again. Confirm the stamp updates and that unchanged records are not touched.
Set Release Status to Released.
Part 3: Switch Tesorio to the stamp field
Wait for the next Tesorio sync (or ask your Tesorio contact to trigger one). The stamp field appears in Settings > Company > Custom Fields as inactive, like every new NetSuite field.
Switch the stamp field on. Tesorio fills in the history from NetSuite.
Repoint everything that used the original field: email templates and template variables, campaign audiences and filters, saved views and filters, searchable fields, contact mapping (if the field is an email used as a contact), and any API or report that reads the field.
Once you have confirmed everything works, switch the original field off.
What to expect
Tesorio is only as fresh as your workflow schedule.
Records changed by the workflow get a new "last modified" date in NetSuite and appear in the next Tesorio sync.
The workflow's updates can trigger other scripts or workflows on those records, and they appear in the record's System Notes. Let your NetSuite team know before you release it.
If the original field changes on a record that no longer matches your saved search (for example a paid invoice), the stamp is not updated. That is usually what you want.
Alternative: store the original field directly
Depending on how the field was created, you may be able to open its definition in NetSuite and check Store Value. Tesorio detects the change on its next sync and moves the field to the fast path automatically. This is not possible for every field (for example fields derived from a summary search can never be stored, and fields installed by a SuiteApp may be locked), so try it in a sandbox first. Before you do this, know that:
Existing records may stay empty in NetSuite until each one is re-saved. A mass update or script can re-save them.
The value becomes a snapshot. It no longer follows its source: a sourced value will not change when the source record changes, and a formula recalculates only when the record is saved.
Tesorio only reads records that NetSuite reports as modified, so values already in Tesorio stop refreshing until each record is edited or re-saved.
If you need both the live value and a stored value, use the stamp field above.
