Payment Plans

Overview

Payment Plans let you agree with a customer to pay off one or more invoices in installments, and then track whether they keep to the agreement. Each plan covers specific invoices and splits the total into a weekly, biweekly, or monthly schedule. Tesorio tracks every installment until the plan is closed.

Every action on a plan is recorded with who did it and when, so your team always knows what was agreed with the customer.

Enable Payment Plans

Contact your Customer Success Manager to enable payment plans for your Tesorio account.

Once enabled, an admin needs to give access to each user group.

  1. Navigate to Settings > Permissions.

  2. Find the Payment Plans card.

  3. Toggle it on.

  4. Select view or manage depending on access you want for the permission group.

  5. Save the group at the top of the screen. Users won't see Payment Plans until their group has been saved.

Create a Payment Plan

  1. Navigate to the Payment Plans tab under Receivables.

  2. Click + New payment plan.

  3. Search for and select the relevant customer.

  4. Select the invoices that should be part of the payment plan and click Continue.
    ​

  5. Set the schedule: Weekly, Bi-weekly, or Monthly. Tesorio splits the plan total evenly across the installments. You can add payments by selecting +Add a payment. Press Continue when the installments are correct to move on to the next step.

  6. Review the plan and click Create.
    ​

Activate a Plan

New plans start in the Not started status and should be activated once the customer agrees to the plan. To activate, hover over it and click Activate. The plan moves to the Open tab and Tesorio starts tracking installment due dates.

View and Modify Plan Details

The Payment Plans page has five tabs:

  • Not Started: Plans that have been created but not yet activated

  • Open: All active plans

  • Behind: Active plans with an installment past due

  • Snoozed: Plans you've set aside until a date. They return to your queue automatically on that date

  • Closed: Completed, cancelled, and defaulted plans

Each row shows the customer, plan total, remaining balance, next payment amount and due date, schedule, end date, status, and assignee.

To view or modify a plan, click into a customer name on any of the tabs.

The plan details will pop out the drawer (side panel). From there you can:

  • View plan details

  • Email customers

  • Mark as defaulted

  • Cancel plan

  • Snooze plan

  • View plan history (audit trail)

Automate with Workflows

Tesorio checks every morning for missed installments and records them on the plan automatically.

You can also use Workflows to act on payment plan activity.

Payment Plan Activity Trigger

The Payment Plan Activity trigger runs a workflow when something happens to a plan. Leave Activity blank to run on every event, or choose only the ones you care about:

  • Plan created, activated, rescheduled, completed

  • Payment recorded

  • Installment missed, skipped, or failed

  • Plan cancelled, reinstated, or defaulted

  • Plan snoozed or unsnoozed

For example, choose Installment missed to send your team a Slack alert or create a follow-up task whenever a customer misses a payment.

Payment Plans in Workflows

Payment Plans works with Workflows, so you can automate how your team follows up on plans. Use the Payment Plan Activity trigger to start a workflow when something happens to a plan. Then decide what happens next, like alerting your team in Slack or creating a follow-up task.
