Stay on top of events in Tesorio in real time with customized alerts. Set your conditions for when an alert should be activated, and include threshold criteria if desired so you'll only be notified when the underlying events reach a critical volume.

Alerts are available for invoices, customers, bills, and vendors.

Finding the Alerts Feature

Alerts are available in the global action menu (upper right). Look for the flag icon. If there is an orange badge next to the icon, you've got an activated alert that needs your attention!

Click the Alert icon to open the Alerts view. There are three tabs:

  • Activated Alerts

  • Following

  • Other

Activated Alerts appear when invoices, customer, bills, or vendors match specified criteria. When this tab is empty it means that no alerts are in an "activated" state.

Following includes all alerts you created, have selected to follow, or someone else added you as a follower.

Other show all alerts created by other users in your organization. You can choose to follow any of them.

Note: Currently, there are no private alerts. Every alert that is created is visible to all Tesorio users in your company. Because of this, we recommend that alerts have recognizable names and include descriptions so other users understand the purpose of each one.

For any activated alert, click on the alert name to see a detailed list of items associated with that alert. Click any item to open the record drawer, or View All to go to a dynamic workspace with all those items.

To follow or unfollow an alert, click on the corresponding button to the right of the alert name.

Creating/Modifying Alerts

Alerts are managed via a global permission. All users can see and follow alerts created by others, but only users with express permission can create and modify alerts.

Alert Creation

Users with "create" permissions will see a "Create" button in the upper left of the Alerts drawer. This opens an editor view in which you can apply conditions (invoice amount, due date, etc.). You will also add a name for the alert and can give it a description. (See note above about all alerts being available to all Tesorio users in your company.)

If you only want an alert to be activated when it has reached a certain threshold (i.e., total of all overdue balances is more than $250,000), you can also add threshold parameters.

Alert Enablement

The application does not automatically make an alert active once created. To enable a newly created alert, open the alert settings drawer and click the drop-down button in the upper right of the alert overview. This drop-down will provide User options about the alert, including the ability to enable it.

Adding Followers

You will be added as the first follower to any alert you create. Click on the Follower count to add other followers. The alert will automatically be added to their "Following" list, and if the alert is activated, they will see it in the Activation tab and receive a notification.

Any Tesorio user with "Create" permissions for Alerts can also edit any alert created by any other user.

Notifications

When an alert is created, there is an option to send a notification if the alert is activated. All followers of the alert will receive a notification with that information.

If the alert will likely be activated frequently, consider switching off the notification. You will still be able to see that an alert has become activated because the orange badge will appear at the top of the Alert icon in the upper right navigation.

Snoozing an Alert

Use the Snooze function to suspend activation of an alert for a set amount of time. Tesorio will continue to monitor the underlying criteria of the alert while it is snoozed, but it will not be activated (ie, appear in the Activated tab, appear in the activated badge tally, or send a notification) even if the alert criteria are met until it is unsnoozed.

Other Alert Actions (Copy, Disable, Delete)

Several other actions are available for an alert:

Copy is a way to duplicate an alert and all its settings in the event you want to create a similar but separate instance.

Disable removes the alert from active monitoring and from the "Following" list of all followers. Disabled alerts are in the Other tab under the "Disabled" heading. All settings are preserved and the alert can be enabled via the menu option on the Done button.

Delete erases the alert entirely. This is a permanent action and once an alert is deleted there is no way to recover it.

Activated Alerts Dashboard Widget

A widget displaying activated alerts can be added to the dashboard for greater visibility. To add this widget, go to the Dashboard and click "Add a Widget," then select the Activated Alerts option. You can follow or unfollow any alerts as part of the widget setup. Once on the dashboard, this widget will show any alerts that have been activated. The widget will show a "no activated alerts" message when no alerts are activated.
